The safety and wellbeing of students is our highest priority. All programmes listed on this Website have been assessed against our 50-point vetting framework, which includes safeguarding standards, staff-to-student ratios, background checks, and on-site pastoral care requirements.

Worldschooling requires that all programme partners maintain and evidence:

  • DBS-checked (or equivalent) staff with relevant qualifications;
  • 24/7 on-site supervision and a named designated safeguarding lead;

Where Worldschooling acts as a booking agent for a third-party programme provider, financial protection is subject to the terms of that provider. We will clearly indicate the applicable protection at the time of booking.

7. Accuracy of Information

We make reasonable efforts to ensure that all programme information on this Website is accurate, including pricing, dates, locations, inclusions and age ranges. However, programme details are subject to change by our programme partners, and we cannot guarantee that all information is current at the time you access the Website.

All prices shown are indicative starting prices. Final pricing will be confirmed in writing at the time of booking. We are not bound by any typographical or manifest errors in pricing on the Website.

3. Our Role as Data Controller

TUTU VIEW Ltd is the sole data controller responsible for personal data collected through this Website and in connection with our educational services.

Where Worldschooling acts as a programme organiser, we are the data controller for all personal data processed in connection with that programme. Where Worldschooling acts as a booking agent for a third-party programme provider (such as an independent school or university), that provider may also act as an independent data controller for the personal data it receives and processes directly. We will identify the relevant controller clearly at the time of booking.

We share necessary personal data with third-party programme partners and service providers solely for the purpose of delivering the booked programme.

4. Personal Data We Collect

We collect the following categories of personal data:

4.1 Parent / Guardian Data

  • Full name and relationship to the Student;
  • Contact details (email address, telephone number, postal address);
  • Financial information necessary to process payments (handled by our secure third-party payment processor; we do not store card details);
  • Communications records (enquiries, correspondence, complaints).

4.2 Student Data

  • Full name, date of birth and age;
  • Nationality and passport or travel document details (where required for international programmes);
  • School year, academic level and educational background (where provided);
  • Emergency contact details (parent/guardian details);
  • Programme preferences and enrolment information.

4.3 Special Category (Sensitive) Student Data

Where necessary for the provision of safe and appropriate educational services, and with the explicit consent of the parent or guardian, we may collect:

  • Medical and health information (including conditions, allergies, medications, fitness to participate);

5. How We Collect Your Personal Data

We process personal data for the following purposes under the following legal bases:

  • To respond to enquiries and provide programme information to parents/guardians – legal basis: legitimate interests;
  • To process bookings, manage enrolments and deliver educational programmes – legal basis: performance of a contract (with the parent/guardian);
  • To share necessary student data with programme partners for safe delivery of the programme – legal basis: performance of a contract and, for special category data, explicit consent of the parent/guardian;
  • To process special category student data (health, dietary, SEN information) – legal basis: explicit consent of the parent/guardian;
  • To comply with our legal obligations, including safeguarding duties, financial protection (PTS membership) requirements and applicable education law – legal basis: legal obligation;
  • To send marketing communications to parents/guardians – legal basis: consent or legitimate interests;

Where we rely on consent, parents or guardians may withdraw consent at any time by contacting us at privacy@worldschooling.co.uk. Withdrawal of consent does not affect the lawfulness of processing before withdrawal.

7. Children's Data – Enhanced Protections

Given that our services are directed at students aged 7 to 18, we apply the following enhanced protections to children's personal data:

  • We do not collect personal data directly from children under 13. All data is provided by the parent or guardian.
  • We do not use children's personal data for profiling, targeted advertising or any commercial purpose beyond the delivery of the booked programme.
  • We do not share children's personal data with any third party except programme partners, for the sole purpose of safely delivering the booked programme, or where required by law (e.g. safeguarding disclosures).
  • Special category data relating to students is shared with programme partners only to the extent strictly necessary for the student's health, safety and welfare during the programme.
  • We retain student data only for as long as necessary to deliver the programme and meet our legal obligations, after which it is securely deleted or anonymised.
  • We have designed our Website in accordance with the ICO's Children's Code (Age Appropriate Design Code) to ensure it is safe and appropriate for parents and guardians researching programmes for their children.

8. Sharing Your Personal Data

We may share personal data with:

  • Programme partners (independent schools, universities, residential centres and activity providers) involved in delivering the booked programme, to the extent necessary for enrolment, safety and programme delivery;
  • Protected Trust Services (PTS) (membership number [6474]), solely for the purpose of administering the Protected Trust Account in which booking monies are held;
  • Professional advisers (including legal, accounting and insurance advisers);
  • Regulatory and law enforcement authorities where required by law, including in connection with our safeguarding obligations;
  • Our secure third-party payment processor, for the purpose of processing booking payments.

We do not sell personal data to third parties. We do not share children's personal data for marketing or commercial purposes.

9. International Data Transfers

Some of our programme partners are located outside the UK, including in countries within the European Economic Area and further afield (for example, Thailand, China and Italy). Where personal data is transferred outside the UK, we take appropriate measures to ensure an adequate level of protection, including by putting in place contractual safeguards (such as UK International Data Transfer Agreements) and ensuring that programme partners are subject to appropriate data protection obligations.

10. Data Retention

We retain personal data only for as long as necessary for the purposes for which it was collected:

  • Enquiry data: up to 24 months from the date of enquiry;
  • Booking and enrolment records (including student data): up to 7 years from the date of the programme, for contractual, tax and legal purposes;
  • Special category student data (health/medical/SEN): deleted or anonymised within 12 months of the programme completing, unless retention is required by law;
  • Marketing data: until consent is withdrawn or the parent/guardian opts out;
  • Data related to legal claims or disputes: for the duration of the claim and any applicable limitation period.

11. Data Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration. Given the sensitivity of the personal data we process (including children's data and special category data), we apply enhanced security standards including:

  • Role-based access controls limiting access to children's data to authorised staff only;
  • Encrypted transmission of personal data where technically feasible;
  • Internal data protection policies and regular staff training;
  • Contractual safeguarding and data protection obligations imposed on all programme partners.

The parent or guardian has the following rights in relation to personal data we hold about them and their child:

3. Booking Terms & Conditions

These Booking Terms & Conditions ("Terms") set out the agreement between TUTU VIEW Ltd (trading as Worldschooling) ("we", "us", "our") and the parent or legal guardian ("the Parent") who books a programme on behalf of a student ("the Student").

All bookings are made by the Parent in their own name on behalf of the Student. The Student, who is a minor, is not a party to this agreement. By confirming a booking and paying the deposit, the Parent confirms that they have read, understood and agreed to be bound by these Terms, our Cancellation & Refund Policy, and our Privacy Notice.

1. Definitions

"We", "us", "our" and "Worldschooling" means TUTU VIEW Ltd, a company incorporated in England and Wales (registered office: 6th Floor, First Central 200, 2 Lakeside Drive, London NW10 7FQ), trading as Worldschooling.

"Parent" or "you" means the parent or legal guardian who holds full parental responsibility for the Student and who enters into this agreement with us. The Parent must be aged 18 or over.

"Student" means the minor (aged 7 to 18) on whose behalf the booking is made and who will participate in the programme.

"Programme" means the educational programme, summer school, curated experience or activity arranged by or through Worldschooling, as described in the booking confirmation.

"Programme Provider" means any third-party provider of a Programme, including independent schools, universities, residential centres and activity providers.

"Booking Confirmation" means our written confirmation of the booking, setting out the Programme details, total fee, payment schedule and any special conditions.

"Programme Fee" means the total amount payable for the Programme as set out in the Booking Confirmation.

"Deposit" means the non-refundable payment of 30% of the Programme Fee, due at the time of booking.

"Force Majeure" means any event beyond our reasonable control which we or the Programme Provider could not foresee or prevent, including pandemics, natural disasters, government travel restrictions, border closures, civil unrest, or venue closures.

2. Our Role – Organiser and Booking Agent

2.1 Worldschooling operates in two capacities depending on the Programme booked. Your Booking Confirmation will clearly state which role applies:

2.2 Programme Organiser: Where Worldschooling acts as Programme Organiser, we take direct responsibility for the arrangement and delivery of the Programme. These Terms apply in full, and we are your primary point of contact for all matters.

2.3 Booking Agent: Where Worldschooling acts as a booking agent, we arrange the booking on your behalf with an independent Programme Provider. In this case:

  1. the contract for the Programme itself is between you and the Programme Provider, and the Programme Provider's own terms and conditions apply to the Programme;
  2. these Terms govern the service provided by Worldschooling (including our curation, booking and support services) and our service fee where applicable;
  3. we will provide you with the Programme Provider's terms before you confirm your booking, and you will be asked to confirm your acceptance of them.

2.4 In both cases, our Cancellation & Refund Policy applies to payments made to Worldschooling, and all monies are held in the PTS Protected Trust Account.

3. Who Can Make a Booking

3.1 All bookings must be made by a parent or legal guardian who:

  • holds full parental responsibility for the Student;
  • is aged 18 or over; and
  • has the legal capacity to enter into a binding agreement.

3.2 By making a booking, the Parent confirms that they have read and accepted these Terms on behalf of themselves and acknowledges the Student's participation in the Programme.

3.3 Programmes are open to students aged 7 to 18, subject to the specific age range stated for each Programme. Enrolment outside the stated age range is not permitted without our prior written consent.

4. Booking and Payment

Deposit: 30% of the Programme Fee – due at booking (non-refundable). Balance: 70% – due at least 8 weeks before the programme start date.

4.1 A booking is confirmed only when we have issued a written Booking Confirmation and received the 30% Deposit.

4.2 The Deposit is non-refundable in all circumstances. Payment of the Deposit constitutes acceptance of these Terms and our Cancellation & Refund Policy.

4.3 The Balance (70% of the Programme Fee) must be paid no later than 8 weeks (56 days) before the programme start date, as stated in the Booking Confirmation.

4.4 For bookings made within 8 weeks of the programme start date, the full Programme Fee is due at the time of booking.

4.5 If the Balance is not received by the due date, we reserve the right to treat the booking as cancelled by the Parent and to forfeit the Deposit. We will issue a written reminder before doing so.

4.6 All Programme Fees are quoted in pounds sterling (GBP) unless stated otherwise. We are not responsible for any bank charges, currency conversion fees or other charges imposed by your payment provider.

4.7 All monies paid by you are held in a PTS Protected Trust Account. Further details are set out in clause 13 (Financial Protection).

5. Health and Medical Declaration

5.1 A health and medical declaration is mandatory for all Students. By confirming a booking, the Parent warrants that:

  • the Student is in good health and physically and emotionally fit to participate in the Programme as described;
  • the Student does not have any medical condition, disability, allergy or special educational need that has not been disclosed to us in writing at the time of booking;
  • all medical, dietary and special educational needs information provided is accurate and complete to the best of the Parent's knowledge.

5.2 The Parent must notify us in writing of any change in the Student's health or medical circumstances that arises after the Booking Confirmation has been issued. We may need to reassess the suitability of the Programme in light of such information.

5.3 Food allergies and dietary requirements must be disclosed at the time of booking. We will use reasonable endeavours to pass this information to the Programme Provider, but cannot guarantee that all requirements can be accommodated. Worldschooling and Programme Providers cannot accept liability for allergic reactions or illness resulting from undisclosed or unverified dietary information.

5.4 If a Student has special educational needs or a learning difference, the Parent must inform us at the time of booking so that we can assess the suitability of the Programme and, where possible, communicate relevant information to the Programme Provider. Disclosure of such information does not guarantee that specific support or adjustments will be available.

6. Safeguarding and Student Welfare

6.1 The safety and wellbeing of all Students is our highest priority. All Programmes listed on our website have been assessed against our 50-point vetting framework covering safeguarding standards, staff qualifications, background checks and pastoral care.

6.2 All Programmes are delivered by staff who are DBS-checked (or equivalent for international programmes) and trained in safeguarding. There is a designated safeguarding lead at every venue.

6.3 The Parent must provide accurate emergency contact information at the time of booking. In the event of an emergency involving the Student during the Programme, we or the Programme Provider will contact the Parent using the details provided.

6.4 Any safeguarding concern should be reported immediately to safeguarding@worldschooling.co.uk. Worldschooling and Programme Providers are required by law to report certain safeguarding matters to the appropriate statutory authorities, which may occur without prior notice to the Parent.

6.5 The Parent consents to the Programme Provider taking reasonable decisions regarding the Student's welfare and safety during the Programme, including seeking emergency medical treatment where necessary.

7. Special Requests

7.1 Any special requests (beyond medical or dietary disclosures covered in clause 5) must be made in writing at the time of booking. We will pass reasonable requests to the Programme Provider but cannot guarantee that any request will be fulfilled.

7.2 We cannot accept bookings that are conditional upon a special request being met, unless we have confirmed fulfilment in writing.

8. Programme Content and Changes

8.1 The programme content, timetable, accommodation and activities described at the time of booking are indicative. Programme Providers reserve the right to make reasonable adjustments for operational, safety or educational reasons without prior notice. Such minor changes do not entitle the Parent to cancel or receive a refund.

8.2 If a significant change is made to the core characteristics of the Programme before it commences (such as a change of venue, substantial reduction in duration or removal of a key element), we will notify the Parent promptly and offer the choice of:

  • accepting the change;
  • transferring to a suitable alternative Programme of equivalent value, if available; or
  • cancelling the booking and receiving a full refund of all amounts paid.

8.3 Worldschooling and Programme Providers are not liable for changes necessitated by Force Majeure.

9. Cancellations and Refunds

Cancellations and refunds are governed by our Cancellation & Refund Policy, which forms an integral part of these Terms. Key points are:

The 30% Deposit is non-refundable in all circumstances.

  • Balance refund (if cancelled more than 8 weeks before start): 100% of the Balance refunded.
  • Balance refund (if cancelled 8 to 4 weeks before start): 50% of the Balance refunded.
  • Balance refund (if cancelled less than 4 weeks before start): No refund.
  • No-show or early departure: No refund.

10. Transfer of Booking

10.1 The Parent may transfer the booking to another student of the same or similar age and academic level, subject to:

  • written notice to us at least 28 days before the programme start date;
  • the replacement student meeting all eligibility, health and age requirements for the Programme;
  • our prior written approval and that of the Programme Provider; and
  • payment of an administration fee of £75, plus any charges imposed by the Programme Provider.

10.2 Transfers are not permitted within 28 days of the programme start date.

11. Student Conduct

11.1 The Parent is responsible for ensuring that the Student understands and agrees to comply with the rules of the Programme and the relevant venue.

11.2 All Students are expected to behave respectfully towards staff, other students, local communities and Programme facilities.

11.3 Worldschooling and Programme Providers reserve the right to remove a Student from a Programme at any time if their behaviour:

  • poses a risk to the safety or wellbeing of themselves or others;
  • seriously disrupts the Programme for other participants; or
  • involves illegal activity or a serious breach of the venue's rules.

11.4 In such circumstances, no refund will be given for unused Programme days. The Parent will be responsible for all costs of collecting or repatriating the Student.

12. Parent Responsibilities

12.1 Travel Arrangements: The Parent is solely responsible for arranging and funding the Student's travel to and from the Programme venue, including any flights, visas, passports or travel documentation required.

12.2 Travel Insurance: Comprehensive travel insurance is the Parent's sole responsibility and is considered essential. Insurance must cover at a minimum: cancellation, medical expenses, emergency evacuation, personal liability and personal belongings. Worldschooling accepts no responsibility for any loss arising from the Parent's failure to obtain adequate insurance.

12.3 Documentation: The Parent is responsible for ensuring the Student holds all valid travel documents, health documentation and any required visas or permits for the Programme destination.

12.4 Emergency Contacts: The Parent must ensure that emergency contact information provided to us is accurate and that the named contact can be reached at all times during the Programme.

12.5 Timekeeping and Arrival: The Parent is responsible for ensuring the Student arrives at the Programme venue on time. No refund will be given for Programme days missed due to late arrival.

13. Financial Protection

13.1 TUTU VIEW Ltd (trading as Worldschooling) is a member of Protected Trust Services (PTS), membership number [6474]. All monies paid to Worldschooling are held in a PTS Protected Trust Account, ringfenced from our general business funds at all times.

13.2 In the event of our insolvency, PTS will ensure that monies held in the trust account are returned to eligible Parents. For further information, please visit www.protectedtrustservices.com.

13.3 Where Worldschooling acts as a booking agent and monies are passed to a Programme Provider, those monies may not benefit from PTS protection. We will advise you clearly at the time of booking if this applies and what alternative protection, if any, is available.

14. Our Liability

14.1 Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be excluded.

14.2 Subject to clause 14.1, where Worldschooling acts as Programme Organiser, our total liability to the Parent for any claim shall not exceed the total Programme Fee paid for the affected Student.

14.3 Where Worldschooling acts as a booking agent, our liability is limited to our service fee only. We are not liable for the acts, omissions or defaults of the Programme Provider, whose own terms and liability limits apply to the Programme itself.

14.4 We are not liable for any loss or damage caused by Force Majeure.

14.5 We are not liable for indirect or consequential losses, including loss of enjoyment, loss of educational opportunity, or travel costs, to the extent permitted by law.

15. Photography, Video and Marketing Consent

15.1 During Programmes, photographs and video footage may be taken by staff or Programme Providers for editorial, promotional and safety purposes. By accepting these Terms, the Parent consents on behalf of the Student to Worldschooling and our Programme Partners using photographs or footage in which the Student appears for marketing, promotional and editorial purposes, including on our website, social media channels and printed materials.

15.2 If the Parent does not wish the Student to appear in any marketing materials, they must notify us in writing before the Programme starts by emailing support@worldschooling.co.uk. We will pass this instruction to the relevant Programme Provider.

15.3 The Parent consents to Worldschooling sharing anonymised or aggregated programme outcome data for educational research or promotional purposes, provided that no individual Student is identifiable.

16. Data Protection

16.1 Personal data relating to the Parent and the Student will be collected, used and protected in accordance with our Privacy Notice, available at www.worldschooling.co.uk. By making a booking, the Parent consents to us sharing relevant personal data (including the Student's health and educational information where necessary) with Programme Providers for the purpose of delivering the Programme safely.

16.2 All processing of the Student's personal data (who is a minor) is subject to enhanced protections in accordance with the ICO Children's Code and UK GDPR. We do not use children's data for profiling or marketing purposes.

17. Complaints

17.1 If the Parent experiences a problem during the Programme, they should raise it immediately with the relevant Programme Provider on-site, and contact us at support@worldschooling.co.uk.

17.2 Formal written complaints must be submitted to us within 28 days of the end of the Programme. We will acknowledge complaints within 5 working days and aim to respond in full within 28 days.

17.3 Failure to report a problem during the Programme may reduce or extinguish any claim the Parent might otherwise have had.

18. Force Majeure

18.1 Worldschooling shall not be liable for any failure or delay in performance caused by Force Majeure. In such circumstances, we will use reasonable endeavours to offer an alternative Programme or, where this is not possible, to recover and return monies from the PTS trust account and/or Programme Providers.

19. Governing Law and Jurisdiction

19.1 These Terms and any dispute or claim arising from them shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.

Parent / Guardian Acceptance

By completing and returning this form, I/we (as the parent or legal guardian of the Student named in the booking) confirm that:

  • I/we have read, understood and agree to be bound by these Booking Terms & Conditions and the Cancellation & Refund Policy in their entirety;
  • I/we hold full parental responsibility for the Student named in the booking and have the legal authority to enter into this agreement on their behalf;

This agreement may be executed electronically. A typed name and date submitted by email or through our booking system constitutes a valid and legally binding electronic signature.

4. Cancellation & Refund Policy

This Cancellation & Refund Policy ("Policy") applies to all educational programmes, summer schools and curated experiences arranged by TUTU VIEW Ltd (trading as Worldschooling) ("we", "us", "our"). By making a booking with us, the parent or legal guardian ("the Parent") confirms that they have read, understood and agreed to the terms set out below.

This Policy should be read together with our Booking Terms & Conditions, which form part of the same agreement.

1. Our Payment Structure

All bookings require a 30% non-refundable deposit to secure the place, with the balance due at least 2 months (8 weeks) before the programme start date.

1.1 Deposit: A non-refundable deposit of 30% of the total programme fee is due at the time of booking confirmation. Payment of the deposit constitutes acceptance of these Terms and secures the Student's place on the programme.

1.2 Balance Payment: The remaining 70% of the programme fee (the "Balance") is due no later than 8 weeks (56 days) before the programme start date.

1.3 Late Bookings: For bookings made within 8 weeks of the programme start date, the full programme fee is payable in full at the time of booking.

1.4 If the Balance is not received by the due date, we reserve the right to treat the booking as cancelled by the Parent, and the deposit will be forfeited. We will provide written notice before cancelling.

1.5 All fees are quoted and payable in pounds sterling (GBP) unless otherwise stated in the booking confirmation.

2. Worldschooling's Dual Role – How This Affects Refunds

Worldschooling operates in two capacities, and the applicable refund terms differ depending on our role for your specific booking. Your booking confirmation will clearly state which role applies.

2.1 Where Worldschooling Acts as Programme Organiser:Worldschooling takes full responsibility for the programme and these cancellation terms apply in their entirety.

2.2 Where Worldschooling Acts as Booking Agent:Worldschooling arranges the booking on your behalf with a third-party programme provider (such as an independent school or university). In this case:

  1. the programme provider's own cancellation and refund terms govern the programme fees paid to that provider;
  2. Worldschooling's own service fee (where applicable) is subject to the terms of this Policy;
  3. we will clearly identify the applicable provider terms before you confirm your booking, and you will be asked to acknowledge them.

We strongly recommend that all Parents purchase comprehensive travel insurance including cancellation cover at the time of booking, regardless of which role applies.

3. Cancellation by the Parent

3.1 All cancellation requests must be submitted in writing by email to support@worldschooling.co.uk. Cancellations take effect from the date we receive your written request.

The 30% deposit is non-refundable in all circumstances, including cancellation for any reason.

3.2 Cancellation charges for the Balance (the remaining 70%) are as follows:

  • More than 8 weeks (56 days) before the programme start date: Balance refunded in full (deposit is forfeited).
  • 8 weeks to 4 weeks (56 to 29 days) before the programme start date: 50% of the Balance is refunded (50% of Balance is forfeited, in addition to the deposit).
  • Less than 4 weeks (28 days) before the programme start date: No refund of the Balance. 100% of the total programme fee is forfeited.
  • No-show or early departure from the programme: No refund of any amount paid.

3.3 Where Worldschooling acts as a booking agent, the programme provider's own cancellation terms may be stricter than the above (for example, the Balance may be non-refundable from an earlier date). We will advise you of the provider's specific terms before booking.

3.4 Any refund due will be processed only after Worldschooling has received the corresponding refund (if any) from the relevant programme provider. Worldschooling does not advance, pre-fund or guarantee refunds prior to receiving funds from programme providers.

4. Cancellation by Worldschooling or the Programme Provider

4.1 If Worldschooling cancels a programme for reasons within our control (for example, failure to meet minimum enrolment numbers), we will:

  • notify the Parent as soon as reasonably practicable;
  • offer a suitable alternative programme of equivalent value, if available; or
  • provide a full refund of all monies paid, including the deposit.

4.2 If a programme is cancelled due to Force Majeure (including but not limited to pandemics, natural disasters, government travel restrictions, civil unrest or venue closures beyond our control), refunds will be subject to the recovery of funds from the relevant programme provider and the rules of the PTS Protected Trust Account. Worldschooling will not be liable for any additional compensation in such circumstances.

4.3 Where Worldschooling acts as a booking agent, cancellation by the programme provider is governed by that provider's own terms. We will act as your advocate in seeking any refund owed, but cannot guarantee recovery of funds where the provider's terms do not permit it.

5. Programme Changes by Worldschooling or the Provider

5.1 Worldschooling and our programme partners reserve the right to make reasonable adjustments to programme content, timetabling, accommodation or activities where necessary for operational, safety or educational reasons. Such minor changes do not entitle the Parent to cancel or receive a refund.

5.2 If a significant change is made to the core characteristics of the programme (such as a change of venue, substantial reduction in programme duration, or removal of a key programme element), we will notify the Parent as soon as possible and offer the choice of accepting the change, transferring to an alternative programme, or receiving a full refund of all amounts paid.

6. Amendments and Transfers

6.1 Requests to amend a confirmed booking (for example, changing dates or programme) must be submitted in writing. Amendments are subject to availability and may incur an administration fee of £75 per booking, in addition to any charges imposed by the programme provider.

6.2 A booking may be transferred to another student of the same or similar age and academic level, subject to:

  • written notice to us at least 28 days before the programme start date;
  • the replacement student meeting all eligibility and medical requirements for the programme;
  • payment of a transfer administration fee of £75, plus any charges imposed by the programme provider.

6.3 Transfers are not permitted within 28 days of the programme start date.

7. Financial Protection and Refund Process

7.1 All monies paid to Worldschooling are held in a PTS Protected Trust Account operated by Protected Trust Services (PTS) (TUTU VIEW Ltd membership number [6474]). These funds are ringfenced from our general business funds at all times.

7.2 In the event of our insolvency, PTS will administer refunds directly to eligible Parents in accordance with PTS rules. For further information, please visit www.protectedtrustservices.com.

7.3 Where a refund is due, it will be returned from the PTS trust account using the original payment method unless otherwise agreed in writing.

8. Travel Insurance

Comprehensive travel insurance is the Parent's sole responsibility and is considered essential for all Worldschooling programmes. Insurance should cover as a minimum:

  • Cancellation and curtailment (including cancellation due to illness of the Student or an immediate family member);
  • Medical expenses and hospitalisation (including medical evacuation);
  • Personal accident and personal liability;
  • Loss of personal belongings and baggage;
  • Supplier insolvency cover (in addition to PTS protection).

Worldschooling cannot be held responsible for any loss arising from the Parent's failure to obtain adequate insurance. We strongly recommend purchasing insurance at the time of booking to maximise cancellation cover.

9. Governing Law

This Policy is governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.

5. Data Processing Addendum

This Data Processing Addendum ("Addendum" or "DPA") forms part of, and is incorporated into, the agreement between TUTU VIEW Ltd (trading as Worldschooling) and the counterparty identified in the relevant agreement (the "Agreement").

This Addendum applies only to the extent that TUTU VIEW Ltd (Worldschooling) acts as a Data Processor or Sub-Processor on behalf of the other party under the Agreement.

1. Definitions and Interpretation

1.1 Capitalised terms not otherwise defined in this Addendum shall have the meanings given to them in the Agreement or under applicable Data Protection Laws.

1.2 "Data Protection Laws" means all applicable data protection and privacy laws, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and any implementing or supplementary legislation, together with applicable codes of practice and guidance issued by the ICO, including the Children's Code (Age Appropriate Design Code).

1.3 For the purposes of this Addendum:

  • "Controller", "Processor", "Sub-Processor", "Personal Data", "Processing" and "Special Category Data" shall have the meanings given under applicable Data Protection Laws.
  • "Children's Data" means Personal Data relating to individuals under the age of 18, which is subject to enhanced protections under Data Protection Laws and the ICO Children's Code.
  • "PTS" means Protected Trust Services, the financial protection scheme of which TUTU VIEW Ltd is a member (membership number [6474]), whose trust account administration may require the processing of limited personal data in accordance with PTS membership obligations.

2. Scope and Roles of the Parties

2.1 The parties acknowledge that, depending on the nature of the services provided under the Agreement:

  1. the Client may act as a Controller and TUTU VIEW Ltd (Worldschooling) may act as a Processor; or
  2. the Client may act as a Processor and TUTU VIEW Ltd (Worldschooling) may act as a Sub-Processor.

2.2 Where TUTU VIEW Ltd (Worldschooling) acts as a Processor or Sub-Processor, it shall process Personal Data solely on behalf of, and in accordance with the documented instructions of, the Client, unless required to do otherwise by applicable law.

2.3 Where the Personal Data being processed includes Children's Data, both parties acknowledge the heightened obligations applicable under Data Protection Laws and the ICO Children's Code, and agree to comply with those obligations.

3. Compliance with Data Protection Laws

3.1 Each party shall comply with its respective obligations under applicable Data Protection Laws.

3.2 TUTU VIEW Ltd (Worldschooling) shall:

  1. process Personal Data (including Children's Data) only on documented instructions from the Client;
  2. ensure that persons authorised to process Personal Data are subject to appropriate confidentiality obligations and have received data protection training, with specific awareness of Children's Data protections;
  3. not use Personal Data for its own purposes, and specifically not use Children's Data for profiling, targeted advertising or any commercial purpose;
  4. implement appropriate technical and organisational measures to protect Children's Data, having regard to the particular sensitivity of such data.

4. Technical and Organisational Measures

4.1 TUTU VIEW Ltd (Worldschooling) shall implement appropriate technical and organisational security measures to protect Personal Data, including Children's Data, against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.

4.2 In relation to Children's Data specifically, TUTU VIEW Ltd (Worldschooling) shall apply enhanced measures including:

  1. strict role-based access controls limiting access to Children's Data to authorised personnel with a legitimate need;
  2. segregation of Children's Data from other categories of personal data where technically feasible;
  3. specific staff training on Children's Data protections and the ICO Children's Code.

4.3 Such measures are further described in Appendix 1 (Security Measures).

5. Special Category Data and Children's Data

5.1 Where Personal Data processed under this Addendum includes Special Category Data (including health, medical or special educational needs data) relating to students, TUTU VIEW Ltd (Worldschooling) shall:

  1. process such data only to the extent strictly necessary for the safe delivery of the booked educational programme;
  2. ensure that explicit consent has been obtained from the relevant parent or legal guardian before any Special Category Data is processed;
  3. not share Special Category Data with any Sub-Processor or programme partner beyond what is strictly necessary for the student's health, safety and welfare;
  4. delete or anonymise Special Category Student Data promptly following the completion of the relevant programme, unless retention is required by law.

6. Sub-Processing

6.1 The Client grants TUTU VIEW Ltd (Worldschooling) a general authorisation to engage Sub-Processors for the performance of the services, including programme partners such as independent schools, universities and residential centres.

6.2 TUTU VIEW Ltd (Worldschooling) shall:

  1. provide prior written notice of any intended changes concerning the addition or replacement of Sub-Processors; and
  2. allow the Client a reasonable opportunity to object on reasonable data protection grounds.

6.3 TUTU VIEW Ltd (Worldschooling) shall ensure that any Sub-Processor is subject to data protection obligations no less protective than those set out in this Addendum, including in relation to Children's Data and Special Category Data.

6.4 The Client acknowledges that TUTU VIEW Ltd (Worldschooling) is required, as a condition of its PTS membership (membership number [6474]), to share limited booking and payment data with PTS for the purpose of operating the Protected Trust Account. Such sharing constitutes a legal and contractual obligation and does not require separate Client consent under this Addendum.

7. International Data Transfers

7.1 Where Personal Data (including Children's Data) is transferred outside the United Kingdom or the European Economic Area, including to programme partners located in countries such as Thailand, China or Italy, such transfers shall be made in accordance with applicable Data Protection Laws.

7.2 The parties agree that such transfers shall be governed by:

  1. the UK International Data Transfer Addendum to the EU Standard Contractual Clauses; or
  2. the EU Standard Contractual Clauses, as applicable.

7.3 Given the sensitivity of Children's Data, TUTU VIEW Ltd (Worldschooling) shall carry out enhanced due diligence on any recipient of Children's Data in a third country and shall document the legal basis for the transfer.

8. Data Protection Impact Assessments

8.1 Given the nature of the personal data processed under this Addendum (including Children's Data and Special Category Data), TUTU VIEW Ltd (Worldschooling) acknowledges that a Data Protection Impact Assessment (DPIA) may be required under Article 35 UK GDPR.

8.2 TUTU VIEW Ltd (Worldschooling) shall cooperate with the Client in carrying out any required DPIA and shall provide all information reasonably necessary for that purpose.

9. Assistance to the Client

9.1 TUTU VIEW Ltd (Worldschooling) shall provide reasonable assistance to the Client in:

  1. responding to data subject rights requests (including rights exercised by parents or guardians on behalf of student data subjects);
  2. carrying out DPIAs;
  3. responding to regulatory enquiries from the ICO or other supervisory authorities; and
  4. complying with applicable safeguarding notification and disclosure obligations.

10. Personal Data Breaches

10.1 TUTU VIEW Ltd (Worldschooling) shall notify the Client without undue delay – and in any event within 48 hours – upon becoming aware of a Personal Data Breach affecting Personal Data processed under this Addendum.

10.2 Where a Personal Data Breach affects Children's Data or Special Category Data, TUTU VIEW Ltd (Worldschooling) shall treat the matter as high priority and shall provide the Client with all information reasonably required to fulfil its notification obligations to the ICO and to affected data subjects (parents/guardians).

11. Audits and Information

11.1 TUTU VIEW Ltd (Worldschooling) shall make available to the Client information reasonably necessary to demonstrate compliance with this Addendum.

11.2 Audits shall be limited in scope and frequency, conducted on reasonable notice, and subject to appropriate confidentiality obligations.

12. Return or Deletion of Personal Data

12.1 Upon termination or expiry of the Agreement, TUTU VIEW Ltd (Worldschooling) shall, at the Client's choice, return or securely delete Personal Data, unless retention is required by applicable law. Children's Data and Special Category Data shall be prioritised for prompt deletion.

13. Liability

13.1 Liability arising from this Addendum shall be subject to the limitations and exclusions of liability set out in the Agreement.

14. Governing Law and Jurisdiction

14.1 This Addendum shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.

Appendix 1 – Security Measures

TUTU VIEW Ltd (Worldschooling) maintains the following technical and organisational security measures:

  • Role-based access controls and the principle of least privilege, with enhanced restrictions on access to Children's Data;
  • Secure and encrypted communication channels for transmission of personal data;
  • Internal data protection policies and regular staff training, including specific training on Children's Data and the ICO Children's Code;
  • Staff confidentiality obligations and background verification;
  • Contractual data protection and safeguarding obligations imposed on all programme partners and Sub-Processors;
  • Incident response and data breach notification procedures;
  • Regular review of data protection measures and policies.

Appendix 2 – Details of Processing

Data Subjects:

  • Parents and legal guardians of students (the contracting parties);
  • Students aged 7 to 18 (the programme participants, whose data is provided by parents/guardians).

Categories of Personal Data:

  • Identification and contact information of parents/guardians;
  • Identification, date of birth, nationality and educational information of students;
  • Travel and programme enrolment information;
  • Special category data including health/medical information, food allergies and special educational needs, where strictly necessary for programme delivery and provided with explicit parental consent;
  • Booking and payment reference data shared with PTS for trust account administration.

Purpose of Processing: Curation, enrolment and delivery of international educational programmes for students; financial protection administration.

Retention:

  • Enquiry data: up to 24 months;
  • Booking and enrolment records: up to 7 years;
  • Special category student data: deleted or anonymised within 12 months of programme completion, unless retention is required by law;
  • Marketing data: until consent is withdrawn;
  • Legal claims: for the duration of the claim and applicable limitation periods.

International Transfers: United Kingdom to programme partners in EEA and non-EEA countries (including Thailand, China, Italy and Spain), subject to appropriate transfer mechanisms and enhanced due diligence for Children's Data.
